Privacy Policy for Private Notes

Overview

Private Notes is built with privacy as the foundation. All recording, transcription, and AI processing happens entirely on your device. Only subscription data is transmitted to our payment processor. Your meeting content never leaves your device.

What We Collect

Subscription Data Only: We collect only the minimum data necessary for subscription management through RevenueCat (see "Subscription Management Data Collection" below).

Zero Content Collection: We never collect, access, transmit, or store:

• Voice recordings or audio files
• Transcripts or meeting summaries
• Personal information (name, email, phone number)
• App usage data or behavioral analytics
• Device identifiers beyond what's required for payments
• Contacts, calendar, or location data
• Any meeting content or notes you create

The only exception: if you voluntarily share logs with us for troubleshooting, we'll receive diagnostic information you choose to send.

Subscription Management Data Collection

RevenueCat Integration: We use RevenueCat, a third-party payment processor, exclusively for managing subscriptions. When you purchase a subscription, RevenueCat collects:

• Subscription Information: Your subscription tier (weekly/yearly), status (active/trial/expired), renewal dates, and trial eligibility
• App User ID: A unique identifier generated by RevenueCat (not linked to your Apple ID or personal information)
• Attribution Data: Apple AdServices attribution token to measure marketing campaign effectiveness
• Device Information: Your iOS version and device model, transmitted automatically through App Store transactions

What RevenueCat Never Receives:

• Your meeting recordings, transcripts, or AI summaries
• Your personal information (name, email, contacts)
• App usage data or behavioral analytics
• Any content you create in the app

Why We Use RevenueCat: It's an industry-standard subscription platform that enables us to manage payments, and track marketing campaign effectiveness.

How It Works

100% On-Device Processing:

• Audio recordings stay on your device
• Speech transcription happens on your device
• AI summaries are generated on your device
• No internet connection needed (except for initial subscription verification)

All core features work completely offline using Apple's on-device technology.

Data Transparency

Where Your Data Lives:

• 🟢 On Your Device: Transcripts, summaries, recordings, all meeting content
• 🟡 RevenueCat Servers: Subscription status, trial eligibility, attribution data
• 🔴 Never Transmitted: Meeting content, personal information, usage analytics

When We Connect to the Internet:

• ✅ Subscription verification (when opening app with expired/expiring subscription)
• ✅ Purchase processing (when buying/restoring/renewing subscription)
• ❌ Never for tracking, analytics, or behavioral data collection

100% Offline Mode: When your subscription is active and current, the app works entirely offline with no network connections.

Your Data, Your Control

Local Storage Only: Everything is stored on your device with built-in encryption.

You can:

• View all your meetings and transcripts
• Delete anything at any time
• Export in standard formats (Markdown, Plain Text)
• Use without any account or authentication

No Cloud Backup: All app data is programmatically excluded from iCloud backup. Even if you have iCloud backup enabled on your device, your recordings, transcripts, and notes from this app are never backed up to Apple's servers. When you delete data, it's gone permanently. We can't recover it because we never had it.

Apple Intelligence

AI features use Apple's on-device technology:

• Requires Apple Intelligence-enabled device (iPhone 15 Pro or later)
• Availability varies by device and region
• All processing stays on your device
• Apple doesn't transmit your data either

Without Apple Intelligence, the App works in transcription-only mode.

Permissions

Microphone: Required to record audio. Processed immediately and stored only on your device.

Local Storage: Required to save your meetings and transcripts.

That's it. No other permissions requested.

Data Security

• Encrypted local storage using iOS/macOS built-in security
• No account creation required
• No cloud sync (by design)
• Data stays on your device until you delete it
• Uninstalling removes all data

Children's Privacy

We don't collect information from anyone, including children under 13. All processing is on-device.

Your Rights

You have the right to:

• Access all your data in the App
• Export your data
• Delete your data
• Use without tracking

Since everything is local, you already have complete control.

Legal Compliance

This App complies with:

• Apple App Store Review Guidelines
• GDPR principles
• CCPA principles
• COPPA

Most data regulations don't apply because we don't collect data.

Changes

We may update this policy to reflect App changes or legal requirements. You'll be notified through App updates.
